Tomorrow is the quarterly staff meeting, and project director Ann knows she needs to be ready. The agenda is familiar. At 3 p.m. she opens PowerPoint, pulls up the last deck, swaps in tomorrow’s date, and starts updating the numbers. By 5:30 pm, the slides are done. But is she ready? She has a deck, not a message. She has data, not direction. Communicating like a leader isn’t about updating presentations—it’s about shaping moments. And those moments are won or lost long before you step to the front of the room. Here are seven ways managers can ensure they’re making the most of their moment. 1. Know your plan Ann’s preparation went sideways the moment she opened PowerPoint. The first move isn’t to start with software, but intention. Take out a pen and answer three questions: What do I want them to think? How do I want them to feel? What do I want them to do? If you can’t articulate those answers in plain language, no design template will save you. Slides should support the message, not substitute for it. 2. Prepare like it matters Athletes practice all week for a game. Musicians rehearse before a show. Meanwhile, leaders sometimes convince themselves that winging it is authentic. (A spoiler: it’s not.) Preparation isn’t about memorizing slides. It’s about constant testing: rehearsing transitions, knowing what comes next so well that nothing surprises you on screen, timing the flow, and practicing the opening until it feels natural. When leaders skip this step, they default to reading slides aloud, something I call Business Karaoke. No one bought a ticket for that. Preparation is a form of respect: when you rehearse, you signal that the moment deserves your full effort. The most effective communicators do not just review content. They rehearse presence, think about pacing, decide where to pause, and choose where to lower their voice instead of raising it. In effect, they design moments that create clarity. 3. Sweat the details It’s your job to eliminate friction before your audience feels it. If it’s in person, know where you are standing. Decide whether you need a microphone. Make sure the text is legible. If it’s virtual, update the platform. Check your lighting. Test your camera. Years into the Zoom era, people still speak from the shadows or search for the unmute button. Details aren’t about making you look polished, but look prepared. 4. Know your strengths Do an honest assessment of how you show up. If you aren’t naturally funny, don’t force jokes. If you thrive in small groups, consider breaking the audience into intimate sessions. Years ago, Tiger Woods led the PGA Tour in nearly every category except sand saves. His coach didn’t focus on improving bunker play, but driving accuracy. The goal was simple: stay out of the sand. Know your sand traps. Design around them and play to your strengths instead. 5. Remove distractions Your audience walked in with phones buzzing in their pockets. You are already competing for attention. Don’t add to the noise. Leave your phone on your desk and take off your watch. The vibration on your wrist while someone else is speaking is not subtle. It is a signal that something else might matter more. Attention is a gift; treat it that way. 6. Focus your energy Think about a concert. I’ve sat in decision meetings where headcount decisions were debated alongside budgets and operating models. I’ve helped leaders understand how layoffs affect company culture. I’ve also supported leaders and executives who lost their jobs. The emotions usually follow a pattern: shock, self-doubt, and then a period of adjustment. But here’s what I’ve learned from those coaching conversations: top performers don’t lose confidence because they lack skills or ability. They lose it because their sense of self was closely tied to their job. When the job goes away, it can feel like they do too. Here’s what to keep in mind if you’ve been laid off. It’s not about your abilities In 2026, layoffs are happening more often, not because people stopped delivering, but because business models are shifting. The pattern is clear. Challenger, Gray & Christmas reports hundreds of thousands of job cuts. McKinsey research shared that organizations aren’t just adding technology, they’re redesigning roles around it. It’s important to remember that even if your role was eliminated, your capabilities weren’t. Focus on capabilities, not titles If your confidence feels shaken, you’re not alone. Layoffs change more than numbers; they affect how people see themselves, whether they stay or leave. When stability feels uncertain, confidence becomes fragile. It’s easy to internalize the disruption as a signal about your value, but most of the time, it isn’t; confidence returns when you see evidence of your abilities. Update your résumé with measurable outcomes. List what you built, scaled, fixed, or led. Contact former managers and colleagues who can speak to your performance without hesitation. Not in generalities, but results. Capability is not a title. It’s a pattern of outcomes over time. The leaders I coach who recover fastest do one thing differently: they separate who they are from the seat they held. They move from “I was SVP of…” to “I build X, scale Y, and fix Z.” That shift changes perspective. I’ve seen executives exit at peak performance because the strategy changed. I’ve also seen leaders cling to roles that were clearly shrinking. The difference in recovery wasn’t intelligence. It was whether they defined themselves by position or by capability. If you can describe your layoff calmly and with a focus on the future, you show resilience: “The company restructured around X shift. It clarified where I can create the most impact next.” Avoid sounding defensive or bitter. Hiring teams look for composure as much as qualifications. Position yourself for growth The job market is crowded with skilled professionals. High performers are competing for fewer positions, and even confident leaders can feel unsettled. But competition does not equal replaceability. The average employee tenure in the U.S. is 3.9 years. Long, uninterrupted career arcs are less common than people think. Modern careers move in chapters now. A disruption isn’t evidence of failure. It’s part of the cycle. The more important question isn’t “How quickly can I get another title?” It’s “Where can I develop my skills?” A layoff may bruise your confidence and make you doubt your instincts. We traded ideas about what’s actually working. We came up with 10 specific, practical ways anyone who teaches, coaches, or leads can put AI to work. 1. Spark Richer Student Reflection Lance: Ask students to reflect through a conversation with AI rather than staring at a blank page. A well-prompted AI will keep asking follow-up questions, pushing students past “I didn’t like it” toward real analysis. 2. Strengthen Your Syllabus Jeremy: Give an AI assistant your syllabus and ask for a critique—for clarity, inclusivity, student-friendliness, and completeness. You’ll get specific, honest feedback. The AI won’t write the syllabus for you, but it will challenge you to make yours better. We don’t always have colleagues at our side who can offer input on our work. So this is an objective, independent, instant, constructive way to get a useful critique. 3. Make Materials More Visual Lance: Turn your syllabus into a graphic version students actually want to read. AI assistants can help you create visual layouts and simple comics-style explanations without any design experience. 4. Improve Lesson Plans Jeremy: Describe your learning goals, your class size, your constraints—then ask AI to generate 10 warm-up or closing activities. You won’t use most of them, and you might remix a couple. But having options means you’ll often figure out something better than what you’d have designed alone. 5. Try It Until Something Clicks Lance: Play with AI until it does something that genuinely surprises or excites you. That moment of “Wait, I could actually use this,” is what shifts the conversation from theoretical to real. “For some students, this is really powerful, including students navigating English as a second language or ADHD or dyslexia—these tools can unlock things.” 6. Build Engaging Class Activities Jeremy: When you need a compelling analogy for a hard concept, or a historical anecdote, or a mini case study for a short role-play exercise, AI assistants can be helpful in expanding what we consider. If you’re teaching a subject you know well, you can set the direction and take responsibility for verification. NotebookLM and Claude can generate examples quickly, and can search your own notes to surface examples you’ve created yourself but lost track of. The goal of using AI in this context is strengthening engagement and improving the learning experience. It’s not for whiz-bang special effects. 7. Generate “Bad Examples” Safely Lance: Examples can be useful to illustrate what not to do, but you’d never embarrass a student by presenting their work as an example of a mistake. “We’re never, ever going to—nor should we—ask a student, ‘This was a really horrible thing, can I use it as a bad example going forward?’” AI tools can generate intentionally flawed examples: a weak argument, a poorly structured paragraph, or circular reasoning. Students learn what to avoid. 8. Catch What You’re Missing Jeremy: Ask an AI assistant to review your materials for accessibility gaps, unclear instructions or areas where your material could be more inclusive. Think of it as a thoughtful colleague who reviews your work and catches what familiarity made you miss. 9. Analyze Student Feedback Lance: Strip names and any identifying information from end-of-semester feedback, then ask AI to identify themes, patterns, and gaps. As Lance put it, “What are some things that I’m not seeing? What are some assumptions I’m making or missing? What are some ways I might redirect the course?” Instead of spending hours manually categorizing open-ended comments, you get a usable overview in minutes—leaving more time to actually act on what students told you. 10. Remember What Was Said Jeremy: Use an AI note-taker like Granola to capture transcripts of student meetings, advising sessions, and office hours. Request permission first. You’ll have searchable records of what was discussed, questions that came up, and what you suggested. That’s particularly useful as time passes and it gets harder to remember the nuances of what you talked about.
